How Gerimedica Onboarded Healthcare Professionals and Turned Them Into Data Professionals

In the healthcare sector, where end-users like doctors and nurses may have minimal experience in BI or data analytics, introducing them to a self-service BI tool such as Sisense requires a carefully tailored approach. This process must consider their specific needs, time constraints, and the critical nature of their work.

Who Are You?

Start by understanding the challenges that healthcare professionals are facing. Recognize that their primary focus is patient care, not data analysis. The onboarding process should therefore be streamlined, avoiding technical jargon and focusing on practical, relevant applications of data in their day-to-day

A Tailored Approach

Initiate the onboarding with workshops that introduce Sisense in a language familiar to healthcare professionals. Use real-world scenarios, like patient flow management or tracking treatment outcomes, to illustrate how BI can simplify and enhance their work. Do not forget that dashboards are not just one way to leverage data-- sending reports and using Sisense Infusion and Pulse notifications are also valid ways of delivering insights.

Develop training modules that cater to the specific roles of doctors and nurses. For instance, nurses might need to track patient vitals and medication schedules, while doctors might focus more on diagnostic data and treatment outcomes. Tailoring the training content to these roles ensures relevancy and higher engagement.

Boosts User Experience with Plugins

Out of the box, Sisense offers many features that can help end-users use Sisense in the best way possible. In addition to those plugins, we are also a big fan of Paldi (paldi.solutions) and are using quite a few of their plugins to enhance user experience even more. We are using plugins like Advanced Filters, Expandable Pivot Tables, and Filters Bookmarks. During training sessions, we illustrate how these tools can simplify data handling. For instance, the Advanced Filters plugin can help in quickly sorting through large sets of patient data, while the Expandable Pivot Table can aid in multi-dimensional analysis of treatment efficacy and gives us the capabilities of applying multiple Jump to Dashboards in one table. 

Additionally, Expandable Pivot, Filter Bookmarks, Dim Switcher, and Filter Catalog give us the ability to keep dashboards clean and uncluttered, while still giving end-users the ability to change the dashboard to their liking. 

Practice by Doing

After the initial training, provide learners with interactive, hands-on sessions where healthcare professionals can practice using Sisense with guided support. Using (anonymized) data for practice can help them understand how to apply these tools in real-life scenarios. It is, in some cases, useful to use an anonymized or non-recognizable dataset. This will help users focus on using the application and its features, instead of validating the data itself.

Single Point of Knowledge

Establish a support system that includes easy-to-access online resources, FAQs, and a dedicated helpline. Given the busy schedules of healthcare professionals, ensure that these resources are concise and easy to comprehend. We have created documentation and videos to ensure users know how to use Sisense. With the help of Paldi’s Tutorial Button (which is free), we have added a button to every dashboard. With a single click, users can view a 3-minute video explaining the entire dashboard.

Plan, Do, Check, and Act

Regularly gather feedback from the users and use it to refine the onboarding process. Understanding their challenges and adapting the training to meet their needs is key to successful adoption. In our case, this meant that we recorded a lot of our sessions so users could rewatch it or when they were unable to attend watch it in their own time.

Never Stop Teaching

As users become more comfortable with the basics, introduce more advanced features of Sisense and the Paldi plugins. These workshops can focus on more complex data analysis techniques, custom dashboard creation, reports, pulse notifications, and data visualization best practices.

We are Watching

Monitor how the healthcare professionals are using the tool and offer personalized support or additional training where needed. This could involve one-on-one sessions or department-specific workshops to address unique challenges. Use HotJar or any other tool to track users in your application and see what they see and click on what they click on. 

By focusing on the specific needs of, in our case, healthcare professionals and offering a structured, supportive, and iterative onboarding process, healthcare organizations can effectively empower their staff with Sisense. This not only enhances the data-driven decision-making process but also ensures that the tool is used to its fullest potential in improving patient care and operational efficiency.
