Folder and Dashboard Ownership for Multiple Users

Folders and Dashboards are only permitted to have 1 owner, this has been the case with Sisense since we first started using it 6 years ago. The time has really come to allow multiple owners of Dashboards and Folders. We have around 70 Designers who use our Sisense instance and being able to swap work, work jointly, used shared structures etc. adds a huge amount of time, inconvenience and frustration. The request here is to allow multiple owners of Folders and Dashboards so that Designers can collaborate more effectively, the flexibility of such work would greatly reduce the time to deployment.

Is there an update on this one for Folder management? Its noted as 'Planned' which I expect is not entirely accurate - you have added dashboard sharing functionality but the original dashboard still needs to be created by the folder owner. All we’re after is to understand how people can collaborate in Sisense by having multiple people save dashboards into the same folder, doesn't seem like an out-there request.

Sisense should focus on enabling a more collaborative approach when it comes to working with dashboards and, particularly, folders.

We really struggle with folder management and have decided to completely get rid of them until Sisense finds an optimal solution.

YuliyaMotiyetsthis is encouraging - right now this is causing real problems for us in production. There are several important use cases for this folder system - UI presentation to end users, asset organisation and dashboard publication & basic version management.

Items 1 and 2 are high priority, 3 should really be there but less important than the other two.

Folders are invisible to other admins if the dashboards that contain them are not shared. This creates a situation where multiple versions of folders or dashboards (even with the same name) can be unknowingly created.
Only the owner of a folder can add/remove dashboards. Proper organisation/versioning of assets can be almost impossible without reassignment of dashboard ownership.
Not possible to move folders. It's really time-consuming to create a new empty one, drag each dashboard individually and delete the old one.

Hello Rathinakumar , Drew, we do have plans for improving user experience around folders in the upcoming months. In particular, we are going to focus on enabling users that are not folder owners to add dashboards into folders, which should allow for easier collaboration and dashboards organization.

While it’s something we’re considering investing in toward the end of this year or early next, we don’t have a confirmed timeline or commitment at this stage. Plans are still evolving, and we’ll share updates as soon as there’s more clarity.

Has there been any progress with changing how ownership of folders work? Like other users have mentioned above the current functionality is impractical and is causing extra work by having to change ownership of dashboards and using the API to change ownership of folder to workaround the current functionality.

It would be great to have private folders and team folders where many members can organize and publish dashboards in a single folder.

Hello DRay Oleksandr_K, we are also very interested in this functionality. Keeping dashboards organised in folders within a setup with multiple owners of dashboards is not practical at all. As others have said, it makes collaboration very hard while trying to keep a "clean" list of dashboards.

Current folder implementation is indeed based on a single user ownership that prevents other users from adding or removing dashboards from it. We will evaluate this feature request in order to prioritize it in the roadmap.

I will also like to request this feature in Sisense. We have internal teams working for different clients, so we like to create 'shared folders' for each client where multiple developers where multiple developers can change/add assets in that folder. its a critical use case of our business use-case

Just to add to the request list here. Folder management is something that we expected to be there as a basic feature, but it is very problematic right now and impractical in practice for a large organisation.

There are 2 core use-cases for folders:

To allow us to manage various types and targets for dashboards.
To segregate areas/groups/usage
To allow us to manage what we present to users in the UI.

Whilst ultimately everything resolves to an ID, it makes SiSense very hard to work with for day to day use and I can see this limiting how we expand usage.

Current issues:

Admin permissions are not correctly respected; they cannot move, edit or add to folders owned by other users. This creates a situation where we have to shift ownership temporarily to move things around.
Cannot change ownership of a folder. This wouldn't be such an issue if Admins were able to manage and move dashboards and folders, whoever is the notional 'owner'.
Lack of Admin means we cannot, in practice move/rearrange folders without a lot of pain. If a folder is owned by person A, but the dashboards have other authors (very common), it creates a situation where the only way to change the structure is for the current Admin to create a new folder, take ownership and move everything one by one - then hand them all back.

Please reach out to your CSM to plan your upgrade to our latest release of Sisense (already available if on Cloud) and please be on the lookout for our Dashboard Co-Ownership course in the Sisense Academy.

I will add the requirement for folder co-ownership since that is currently outside the scope of the current release.

Hi qamardinpal The Dashboard that is co-owned can be in any folder. The folder structure in Sisense is mostly for visual organization. Users will also still be able to duplicate Dashboards and save them wherever they need to.

What is the use case that you are looking to solve?

Thanks Benji and Laflet - this is great that you have / there is something like this, however we feel this should be something that is part of the core application rather than being an Add-On. Other BI applications have this as core functionality.

For development purposes, co-owning dashboards will be beneficial for non admin users. But for folder management, co-owned folders would be great. Is it possible for admins to change the owner or view as owner in a folder, a bit like in dashboards?

Hi DRay , Will users be able to move co-owned dashboards into each others folders and republish? Because if not and if folders cannot be co-owned then it means that dashboards can only be co-owned outside of folders which in some ways defeats the whole purpose !!

In the current structure, the owner of the folder has to add dashboards into said folder. I’d like to allow multiple users to add dashboards into folders. This would be super beneficial for workflow.
